Responsibilities

Our Office Services department coordinates the ordering of office supplies company-wide and processing of purchase orders for computer equipment, including hardware, software and peripherals for our IT department. In addition, the Office Services Coordinator is responsible for sorting and delivering mail, responding to internal customer requests and providing coverage on the switchboard. 

  • Processes all IT department purchase orders and invoices and resolve related issues
  • Input PO’s into ERP system, receive and tag items into inventory
  • Assists the IT staff in preparing reports, summaries and responds to inquiries.
  • Analyzes, researches, and prepares summary reports for IT Department expenses under the direction of IT Managers
  • Sorts and delivers incoming mail company-wide.
  • Stamp, seal and send all outgoing mail including USPS, UPS, certified mail, international, etc.
  • Conduct inventory and order forms, labels, and office supplies
  • Distribute reports and supplies to various departments throughout the company:
  • Responsible for mailroom machinery (postage machine, sorter, etc)
  • Log daily postage meter and refill postage as needed
  • Coordinate service with outside vendors (Shred-IT and Cartridge World)
  • Daily coverage on the switchboard
  • Performs additional duties and responsibilities as assigned.

Qualifications & Competencies

  • High School Diploma or GED
  • Minimum one year of administrative, clerical or related experience
  • Requires the individual to be proficient in Word and Excel.
  • Basic understanding of invoicing to research expense inquiries helpful.
  • Proficient computer skills to execute jobs and tasks in a variety of IT systems – such as WorkFlow, ERP, Notes Lotus, etc.

Hours:  Monday - Friday, 8:30am - 5:15pm
